We are committed to protecting your personal information. The council is the data controller for purposes of the Data Protection Act (2018), and The General Data Protection Regulation (EU) 2016/679 ("GDPR"), and is also
registered as a data controller with the Information Commissioner’s Office (ICO).
As a data controller, we have a responsibility to make sure you know why and how your personal information is being collected. This is according to relevant data protection law.

Why we collect your data
We will be collecting your information when speaking with and seeking views from the local community which will be used to inform the development of a new plan (Physical Activity Strategy) to support people to lead more active lifestyles and promote health improvement in Brighton & Hove.
We collect your information when:
completing a survey
registering to attend a consultation event or activity
contacting our team about the consultation
registering on the EngagemenHQ website
We ask information about you to:
help us ensure that our consultation and survey activities gather the views of different communities in the city
communicate with you about this consultation
organise and manage our engagement events

When taking part in our consultation activities we collect your data under:

If you register on our EngagementHQ website or sign up to receive further updates and other information from us your contact details are collected with your explicit consent.
What data we may collect from you
When completing a survey may ask for:
your postcode
special category data (such as ethnicity and sexuality) to help us understand the views of different communities in the city and promote equality of opportunity and treatment.
When registering for an event or an activity we may ask for your:
name
postal Address
email Address
telephone number
Who we share your data with
We will only make your information available to those who need to know, so they can perform their council role.
If you are registering and participating in our consultation via online platform your information will also be processed by Bang The Table who provide this software.
How long we will keep your data
We will delete any data we hold as soon as possible and on completion of the Project, this is expected to be 1st January 2023.
How we store your data
We will store your information on electronic databases, document management systems and on paper records.
How we protect your data and keep it secure
Examples of the security measures we use are:
training for our staff, making them aware of how to handle information securely, and how and when to report when something goes wrong
using encryption when data is being sent, meaning we scramble information so other people can’t read it without access to an unlock key
where possible, we will pseudonymise your data - this means we will remove your identity so the people working with your data will not know your identity
we control access to systems and networks allowing us to stop people who are not allowed to view your personal information, from getting access to it
we reguarly test our technology and ways of working, including keeping up to date on the latest security updates (called patches)
Transferring your data outside the European Economic Area
Your data is not processed outside of the European Economic Area.
